Preventive Maintenance - Reporting and Repair Order Tracking

Once you are tracking PM Schedules on wholegood master records, you have 2 main features for managing the schedules.

  1. Repair Order Tracking
  2. Wholegood PM Report

Repair Order Tracking of PM Schedules

As you add wholegoods with assigned PM Schedules to Repair Orders, RIMSS will validate the current Hours, Miles, and Date against the schedule during the Save.  If there is PM due on the unit, you will receive a pop-up as shown below.

Clicking Yes on the pop-up will bring you to the PM tab on the Repair Order.  Any PM Issues that are due will be highlighted in red and show the value of True in the Past Due column.  Right-click on any of the PM issues and select Add PM to Service Document to add the issue to your existing RO from the tab.

NOTE:  There is a Company Preference that allows you to reset the PM date according to the date of the Initiation Date of the Repair Order.  Default behavior will reset the PM date according to the settlement date of the Repair Order.

Wholegood PM Report

To open the Wholegood PM Report, navigate to:

Reports > Wholegoods > Wholegood PM Report

The report will open blank.  You can add pre-fetch filters to look for specific units, customers, or PM Items.  To pull all PM Schedules assigned to units, click fetch without adding any filters.

Below are a few key data fields to include on the report that can be used for creating call lists or marketing lists for the service department. There are many more useful fields in the report that may give you additional insight into the PM work completed in the service bays.

Past Due - True, False

Date Last Performed - Last date the PM issue was completed

Next Date - Next date the PM will be due

Days Remaining - Number of days until the Next Date

Hours Remaining - Number of usage hours until next PM is due

Miles Remaining -  Number of usage miles until next PM is due

You can filter using key data fields to show customers that you may want to include in a marketing campaign.  The data can also be used to help you design promotions that will directly benefit a large percentage of customers.  Targeted campaigns are helpful to bring in business during slower periods of the year.

Creating a PM Past Due Report  

To create a PM Past Due Report, simply click into the Auto-Filter Row of the Past Due field at the top of the data columns and type in the word True.  Once created, you can save the report in the Layouts menu at the top left.

This report will show all PM Wholegoods and Customers that have exceeded the time frame for their next maintenance visit.

Creating a Report of PM Issues Due in a Specified Number of Days

To create the report showing PM Issues that are due in the next month or more, use the Days Remaining field to filter.  In the auto-filter row of the Days Remaining field, click on the function sign and choose Is less than or equal to.  

In the auto-filter field, type the number of days you would like to include in the report.  In my example, I will look at units that have PM due in the next 60 days.

There are many ways in which you can review PM Items and when they are next due.  The two examples provided are some of the most straightforward reviews on the report.  You can add the most relevant columns for your situation and filter the way that works best for you.

NOTE:  If you find Wholegoods that need the last performed date, mile, hours, or other information updated, you can double click on the line item in the Wholegood PM Report to open the wholegood master record for editing.
