Sales Order – Quick Convert to Invoice

Quickly Convert and Settle Sales Orders without Opening any Documents


When you need to settle a Sales Order quickly, you can use this feature to quickly convert and settle your Sales Orders.  To find the feature, navigate to:

Inventory> Find > Sales Order Lite

Once you open the list, you can add Pre-Fetch filters to pull the Open and Partial Sales Orders for conversion.

After you have populated the Sales Order Lite List, right-click on the Sales Order you wish to settle.  From the pop-up, choose the option “Convert and Settle”.

*NOTE: If you create a pre-authorization while you have the Sales Order Lite list open, you will need to refresh the list prior to using this feature. The existing Pre-Authorizations load at the time you fetch the list.

After clicking on “Convert and Settle”, one of two processes will begin.

  1. If there is not an existing Credit Card Pre-Authorization, the system will convert your Sales Order to Invoice and pop up the Invoice Settlement box. The system will not open the full document during this process.  Once you have the Settlement box, you can choose the payment method of your choice and click “Save and Print”.

After you click “Save and Print”, the system will automatically print the invoice according to any Print Routing set up. If you have not set up Print Routing, you will get the Print Invoice pop-up where you can manually print the document.

  1. If there is an existing Credit Card Pre-Authorization, the system will immediately process the transaction without any further input needed from the user. The system will pop up the Gravity modal to show the transaction is processing.  Your modal may look different depending on the Gravity Interface you are using. Once the transaction has processed, the system will automatically print the invoice according to any Print Routing set up. If you have not set up Print Routing, you will get the Print Invoice pop-up where you can manually print the document.

Once you have finished settling and printing the invoice, the system will bring you back to the Sales Order Lite list where you can continue to right-click documents, choose “Convert and Settle”, and Settle Invoices.
