Supplier Alerts - AFS Qty Limit

A supplier can receive an alert when the AFS quantity of a specific item (part) meets the conditions specified in the alert.  You have the option to add a customized message to the alert.


Configuring the AFS Qty Limit Alert

Step 1:

Set up the alert recipient on the employee master.  Refer to the help document Creating Alert Recipients for the details on how to add the alert contact.


Step 2:

Open the supplier master record for whom you would like to configure the alert.  Navigate to the Alerts tab at the top right-side of the screen.

Step 3:

Click “Add” at the top left of the screen to get the pop-up to add a new alert.  You will see the pop-up with the option for the AFS Qty Limit alert.  Double click on this option to configure the alert.

Step 4:

Once you have opened the Alert Form, you will see the pop-up below. There are 5 fields on the form you can configure to customize this alert.


A.    Variable Values – The variable values available in this alert are the Item (Part) numbers. Click on the ellipse (…) to the right of the Variable Values box to initiate an item search pop-up.  Once you have the pop-up, enter the search parameters and double click on the item number to populate in the alert form.

B.  Limit Type and Limit Value – The Limit Type and Limit Value will set the requirements to trigger the alert. Limit Types include Greater Than, Less Than, Equal To, or None.  Limit Value is the quantity used in conjunction with the Limit Type to trigger the alert.  You can choose the Limit Type from the dropdown menu and enter the Limit Value directly into the box.

C.  Delivery Addresses – Choose the correct delivery addresses for the Supplier and click OK.

D.  Add a Custom Message (Optional) – You can add a customized message that will be included with the system message.

E.  Optional: Mark the alert as “Hold Message for Review” if you do not want the alert to automatically be sent at the time of the part receipt.  If you hold the message for review, the alert will go into a holding area until you release it.

F.  Once you have configured all the fields, click “OK” on the Alert Form, then click “Save” on the Supplier Master Record.

If you marked the alert with “Hold Message for Review”, you will need to release the message when you are ready for it to be sent.  Refer to the article Release Alerts Held for Review to learn how to release the messages.


Here are screenshots of the customized alerts that were delivered.  The Company name comes from the company set up in RIMSS.  The “from” email address is configured in your database mail configuration.  Please note that some cellular providers will truncate the text alerts as shown below.
