Instructions for Replacing Part Numbers

The following will show the processes related to the merging of Sales History between two or more parts.

The merging of Sales History from an old part to a new part allows for the same ordering criteria, pricing, and movement of inventory quantities to the new part. Therefore, a new part in your inventory will be stocked in the same manner that a part with several months of history would be stocked.

A feature accompanying Merge Sales History is the ability to view documents of a part. This provides a transactional history for a part, also helping in locating documents where a part is committed. There is also the ability to un-merge parts that are no longer associated together.

Indications of a part having replacing part(s) are on the Inventory List in the Associations and Has Associations columns.  In the Associations column, there is either a D or U. 

D = Downstream Indicates you are looking at the most current replacing part, and there are older replacing parts.  Also known as a "backward" replacing part.

U = Upstream Indicates the part has a more current replacing part.  This is known as a "forward" replacing part.

The U and D indicators come from your manufacturer Price Files, if provided by the manufacturer.  Although these indicators are provided by the manufacturer, the requirement to merge the sales history from the old part to the new part is up to the user to create the link from the old part to the new part.

Clicking on the + sign above will display the Prices, Associations, Locations window below.  Click on the Associations Tab to review.

To merge sales histories from the current part to the new part, go to:

Inventory > Utilities > Merge Sales History.

The Merge Sales History screen will initially open blank with no Item Number. Enter your Item Number and press Fetch.

The Merge Sales History window will open, displaying the Old Item Number. You will need to select the New Item Number to merge.

After you have selected the new item number, the Merge Sales History window will open again displaying both the old item number and new item number. You will have options to copy information from the old item to the new item. Checkmark each box that you want to copy to the new item.

The example above shows the On Hand Quantity being moved to the New Item Number, and the Old Item Number information copied to the New Item Number. Also, the Old Item Number will be inactivated. By inactivating the Old Item Number, only the New Item Number will display when the Old Item Number is entered on your Inventory List.
