How to Save a Query

Several reports in RIMSS state that they are "Grid View" reports. These "Grid View" reports are saved as Queries rather than as Layouts. The saving of a Query differs from a Layout in that it is a 2-3 step process to create and save the report.

Saving a Query - Step 1

For this help document, we will be working with the Customer Line Item Detail Grid View Report, but the 2 step process is the same for all Grid View reports.

Navigate to Reports > Customers > Customer Line Item Detail Grid View Report

  1. Add your Pre-Fetch Filters to the Query tab, then click on the "Saved Queries" option at the top left of the screen.

  1. The Saved Queries option works similarly to the Layouts Option, except that it allows you to save your pre-fetch filters first, then your layout second. When you click on this option, you will get the dropdown that will allow you to either Save this Query or open an existing saved query. Since we are creating a new Query, we will choose Save this Query.

After clicking Save this query, you will get the following pop-up. Enter the title of the Report you are creating and click OK.

The system will pull the report with the pre-fetch filters that you just set and saved. This report will have only the default columns and will populate in a flat grid. Now you are ready to update this grid to the columns and format that you would like for your report.

Saving a Query Step 2

  1. Once you have adjusted the columns and layout of the grid, you are ready to click on the Query tab to save the Query the second time.

  1. Click on "Saved Queries". This will drop down the list of Saved Queries along with the option to Save this Query. You will notice that the Query you are creating is in the list with a checkmark next to the title. This indicates that you are currently viewing this query and also that if you select "Save this Query" that this is the query that will be saved. Click on Save this Query.

You will now receive a pop-up asking if you want to create a New Layout (Yes) or update the Existing Layout (No). Click No to update the existing layout. You can verify that you are updating the correct layout by reviewing the Layout Title that is populated in the pop-up.

Next, you will see the pop-up to verify the title of the Layout. You can update the title if you wish to rename the report. Otherwise, just click OK.

The system now re-pulls the report with both the pre-fetch filters and the grid layout both included in the Query.

Saving a Query Step 3

You can navigate to the Pivot Grid tab, update the pivot report, and save the Query a third time. There will be separate help documentation on creating pivot table reports in RIMSS. The save will follow the same process as in Step 2. First navigate to the Query Tab, click on "Saved Queries" and select "Save this Query".

*Note: you are not required to save the layout in step 2 prior to saving the pivot report in step 3.

Pulling Query Reports

  1. Navigate to the report
  2. Click on "Saved Queries" and choose the Report Title of the report you wish to view.

  1. The report will immediately populate all pre-fetch filters, fetch the report, and open the layout on the Report tab. You can navigate back to the Query Tab to update and pre-fetch filters and re-fetch the report.
