Updating Payroll Tax Tables and Rates
Each year, RIMSS will update your Federal Withholding tables and FUTA rate per published guidelines.
You will be responsible to ensure all state and local taxes are updated accordingly.
Updating SUTA Rates
Navigate to Payroll > Support Lists > Taxes
Search for SUTA in the Description column.
If needed, search for the state code in the Taxing Jurisdiction column.
Double click on the line item to open and edit the tax.
In the Tax Year drop-down, choose the correct year for the Tax you will be entering. If the year is not available, contact support@rimss.com for assistance.
If your tax rate is not changing from the prior year, you can enter the same information that is set up on the prior year.
If you have a new tax rate, a new taxable limit, or both, you will need to enter the new information.
- In the Rate field, add the new rate as a decimal. RIMSS will convert this to a percentage after you tab out of the field.
Next, you will need to enter the maximum amount of tax that the employee may pay. Most taxing jurisdictions will publish this as a limit to the pay that will be taxable. You can calculate the maximum amount of tax by multiplying the maximum taxable pay by the rate.
Maximum Taxable Pay = $18,500
Rate = .0015 (0.15%)
18,500 * .0015 = 27.75
$27.75 will be the amount to enter in the Maximum Amount field.
Click OK at the top right of the popup once the new amounts are entered and verified. This tax will take effect in the next payroll created with a check date in the calendar year noted.
Updating State Income Tax Withholding Tables
To help you update your State Income Tax Withholding Tables, we will copy the prior year tables to the new year at the same time as we update the Federal Income Tax Withholding Tables. You will only need to edit the tables for any changes that are published by your state agency.
Look up you state agency's website and find their official publication on Income Tax Withholding. You will be looking for the computational table to be used for calculations.
In my example, I will be using the South Carolina State Withholding documentation. Below are the Withholding Table options they provided. I chose the 2025 SC Withholding Tax formula. This state separates the standard tables and the formula tables, but some states will include both in a single document.
Below is the guidance they provide. The salary computations in the top portion are hard-coded into the tax item that we created for the state. If your computational requirements will be changing for the new tax year, please notify us at support@rimss.com so we can review and determine if we will need to update your computations in the system.
South Carolina only has one computational table that is used for all residents. RIMSS uses the Addition Method. You may have separate tables for Married, Single, and other designations in your state. You will need to update the tables for all designations.
Navigate to Payroll > Support Lists > Taxes
Enter your State Code in the Taxing Jurisdiction Column to filter to your state taxes. Double click on the State WH option that you are ready to udpate.
In the popup, select the year that you are updating rates. The data populated will be the rates copied from the prior year or the existing rates that need updating.
From our documentation from the state, below is how I mapped fields in RIMSS to fields on the State Documentation. Fields may be different in your state, so if you need assistance with this portion, contact support@rimss.com
Over = At Least
But Not Over = But less than
Tax Amount = amount to Add
Percent = rate noted (entered as a decimal)
Of Excess Over = At Least
I updated the tax table using this mapping to achieve the changes below. In this example, the pay limits changed, but the rates did not.
NOTES: Ensure that the tables do not overlap dollar amounts. I adjusted the But Not Over down by 0.01 to achieve this when using the But Less Than amounts. For the final level, I chose an amount that would never be exceeded by an employee in payroll.
Once you have completed your updates, click OK at the top of the popup to save the updates.
