Manually Creating Employee Time Slips
There are 2 options in RIMSS for creating time slips. This document reviews the manual method for a single time slip. For the bulk method of creating multiple time slips at one time, you can review the help document Creating Employee Time Slips Using the Time Slip Generator.
You can create a single employee time slip manually by navigating to:
Employees > New > Time Slip

This will open the New Time Slip tab. To save the time slip, you must add the required fields to include: Employee, Task, Date/Time In, and Date/Time Out. If the Time Slip Task selected is Repair Order/Estimate, you will also be required to add the Repair Order/Service Issue and Op Code. Descriptions and instructions for each field on the time slip are below.

- Employee: Click on the dropdown to choose the employee for the time slip. The dropdown will show all active employees in the company. You can begin typing the first name of the employee once the field is selected to auto-filter the dropdown list.

- Task: Click on the ellipse (3 dots) on the right side of the field to prompt the pop-up with the Time Slip Tasks set up in RIMSS. Double click on the task that the time slip represents. If the time slip is for Paid or Non-Paid time off, you can verify you are choosing the correct Type in that column of the pop-up. See below for instructions on adding the Repair Order/Estimate task to a manual time slip.

- If you chose the Repair Order/Estimate task in step 2, you will also need to add the Repair Order/Service Issue and Op Code to the time slip. Click on the ellipse (3 dots) on the Repair Order field to prompt a pop-up to select the correct Repair Order. This pop-up will list all open status Repair Orders in the current location. Each line in this pop-up will represent a specific Service Issue on the Repair Orders, so there may be multiple lines shown for each open Repair Order. Double click on the specific Service Issue line that represents the work the employee was performing during the time of the time slip.

Next you will need to choose the Op Code for the work performed. This code will typically assign the Labor Rate that will be used on the Repair Order. Click on the ellipse (3 dots) on the Op Code field to prompt the pop-up list. Op Codes that are already assigned on the Repair Order will highlight in green to assist you in selecting the correct option.

Below is an example of a Time Slip with all Repair Order/Estimate task fields completed.

- Date/Time In: Add the correct time slip date and time in this field. You can choose the date from the drop-down calendar or simply type in the date. Time can be typed in with the correct AM or PM designation.

- Date/Time Out: Add the correct ending date and time for the time slip in this field. You can choose the date from the drop-down calendar or simply type in the date. Time can be typed in with the correct AM or PM designation. Once you save the time slip, the Total Hours worked will calculate and populate in the field. You can edit the Date/Time fields if you find the Total Hours have calculated incorrectly.

- Notes: Time Slip Notes can be added in this field. These notes will be available to view on the Time Slip, in the Time Slip List, and on Repair Orders/Estimates.

- Click on Save, Save and Close, or Save and New when you have finished creating the time slip. Once saved, the Time Slip # will populate. You may continue to edit or void the time slip until it is included in a RIMSS payroll document or until the Repair Order assigned is settled.
